About the role
The Administrative Operations Assistant supports the Administration Officer in delivering operational administration services for Save the Children Kenya. Working at the front desk, the role ensures smooth daily office functions and upholds the organisation's administrative standards.
Key responsibilities
- Manage the front desk, answer the switchboard, and direct calls to appropriate staff.
- Greet visitors, guide them to relevant personnel, and maintain a tidy reception area.
- Handle incoming and outgoing mail and parcels, maintaining a tracking system.
- File and organise front‑desk documents and maintain office supply inventories.
- Assist with cost‑effective management of office expenses, including kitchen, cleaning, and maintenance costs.
- Support daily and monthly deep‑cleaning activities and general office maintenance.
- Ensure the office opens and closes on schedule and report any concerns promptly.
- Maintain clean, well‑arranged meeting rooms and support internal meetings.
- Consolidate repair requests, follow up on completion, and ensure facilities function properly.
Required profile
- Ability to work under the supervision of the Administration Officer.
- Strong organisational skills for managing front‑desk operations and office supplies.
- Attention to detail in handling mail, documentation, and facility maintenance.
- Proactive attitude in identifying and reporting office concerns.
