Export Sales Admin Coordinator

About the role

Tropical Heat is hiring a full-time, on-site Export Sales Admin Coordinator in Nairobi. The role supports the export sales team by handling customer orders, export documentation, shipping arrangements, invoicing and sales records, acting as a link between customers, sales, logistics, finance, production and external shipping partners.

Key responsibilities

• Process export customer orders from receipt to shipment and keep them accurate in the system
• Prepare and maintain sales orders, proforma and commercial invoices, packing lists and other documentation
• Serve as a point of contact for customers on order status, documentation and delivery schedules, and follow up on quotations, purchase orders and approvals
• Coordinate with logistics, freight forwarders, shipping lines, transporters and clearing agents, track shipments and resolve delays or documentation issues
• Ensure export documentation is complete, accurate and compliant with export requirements
• Work with Finance on invoicing, follow up on payments and verify pricing, quantities, currency, discounts and freight charges
• Prepare export sales and order status reports and maintain sales databases and customer records

Required profile

• Diploma or degree in Sales, Business Administration, Supply Chain Management or a related field
• Bachelor's degree in Business Administration, International Business, Supply Chain, Sales, Logistics or a related field
• 2-4 years of experience in export sales, logistics coordination, customer service or a related role
• Experience with international customers and export documentation is highly desirable
• Good understanding of export and shipping processes is an advantage

Required skills

• Experience with CRM systems or sales/order management platforms
• Strong administrative and organisational skills and attention to detail
• Ability to work independently and under pressure, with professional communication with international customers
