Office Coordinator – International Patient Services

About the role

The Office Coordinator will serve as the central point of contact for international patients contacting us from Kenya. This role bridges patients, medical providers, insurance partners and internal teams to ensure a smooth journey from inquiry through treatment and follow‑up.

Key responsibilities

• Coordinate all international patient inquiries received from Kenya.
• Liaise with hospitals, physicians, insurance companies, embassies, corporates and referral partners.
• Support the regional sales team in achieving patient acquisition and revenue targets.
• Manage patient referrals from inquiry to admission and post‑treatment follow‑up.
• Work closely with medical, billing, visa assistance, travel and accommodation teams.
• Prepare quotations, treatment estimates and required documentation for patients.
• Maintain the CRM/database and ensure timely updates on leads and conversions.
• Schedule meetings, presentations and business visits for the regional sales team.
• Prepare daily, weekly and monthly sales and operational reports.
• Organise marketing events, medical camps, CMEs and healthcare awareness programmes.
• Build and maintain relationships with doctors, hospitals, TPAs, facilitators and corporate clients.
• Monitor competitor activities and share market intelligence.

Required profile

• Experience coordinating international patient inquiries and referrals.
• Ability to work with multiple internal and external stakeholders.
• Strong organisational and communication skills.
