Project Accountant – Health Supply Chain

About the role

The Accountant – Projects will provide accurate, timely, and reliable accounting information for MEDS’s health‑commodity supply chain contract across Kenya. The role ensures project budgets align with work plans and complies with USG donor guidelines.

Key responsibilities

• Prepare DA1 forms, update the VAT log daily, and communicate with vendors on approved forms and refunds.
• Guide project staff to align budgets with the work plan, ensuring activities match allocated funds.
• Process payments by reviewing support documents, preparing vouchers, bank transfer instructions, and cheques, and stamping documentation for compliance.
• Monitor staff travel advances, alerting staff of due payments and ensuring timely liquidation.
• Review receipts and vouchers for completeness and verify expense eligibility.
• Assess expense validity based on reasonableness, eligibility, and appropriateness.
• Prepare vendor reconciliations, request statements, reconcile accounts, and address long‑outstanding invoices.
• Reconcile debtor and staff accounts, confirming advances are expensed correctly and refunds processed.

Required profile

• Proven experience in project accounting and budget management.
• Familiarity with USG donor financial guidelines and reporting requirements.
• Ability to prepare and process DA1 forms, VAT logs, and vendor reconciliations.
• Strong attention to detail for reviewing receipts, vouchers, and expense eligibility.
• Experience monitoring travel advances and ensuring timely liquidations.
