Sales Assistant – Quote Preparation

About the role

The Sales Assistant works from the office to support field sales representatives of a commercial electrical, lighting and signage contractor. You will receive fragmented requests from the field, turn them into accurate, complete quotes, and keep the sales process moving without prompting.

Key responsibilities

• Respond promptly to emails from customers and internal sales team members.
• Keep the sales team updated on the status of open requests without being asked.
• Prepare sales quotes and proposals using company templates, price lists and processes.
• Build quotes from site survey notes, fixture counts, labor estimates and equipment requirements.
• Validate line items, quantities, unit prices and totals before sending to customers.
• Identify missing scope or pricing and flag them rather than making assumptions.
• Prepare revised versions when scope or pricing changes, clearly labeling each version.
• Support the sales team with day‑to‑day administrative tasks and coordination.
• Assemble information needed by representatives before customer conversations or site visits.
• Maintain organized, up‑to‑date records of customers, sites, quotes and correspondence.

Required profile

• Strong attention to detail and instinct to spot numbers that look wrong.
• Ability to ask concise, effective questions that close gaps quickly.
• Proactive communication style to keep processes moving.
• Comfort working in a fast‑paced environment with multiple concurrent requests.
