Projects Coordinator – Luxury Interiors

About the role

The Design Gallery is seeking a Projects Coordinator to build and lead a dedicated Operations function. You will own project execution from sale close through final handover, separating delivery from sales and managing supplier coordination, logistics, installation, client communication, and issue resolution.

Key responsibilities

• Define and document handover processes between Sales and Operations, including SOPs and quality controls.
• Own all client communication on project progress, flagging delays early and recommending solutions.
• Allocate resources, set milestones, and track performance across active projects.
• Oversee installation delivery, resolve on‑site issues, and maintain handover standards.
• Coordinate suppliers end‑to‑end, negotiate terms, and manage logistics, freight, customs clearance, and inventory.
• Manage project variations, ensuring proper specification, costing, documentation, and approval.
• Track supplier spend against budgets, identify cost savings, and authorise documentation before finance submission.
• Ensure occupational health and safety compliance and build risk and business continuity frameworks.

Required profile

• 5‑7 years of experience in project management, operations, or supply chain and logistics.
• Experience in luxury interiors, construction, FMCG, or similar project‑based sectors.
• Proven track record of building or scaling an operational team and designing processes.
• Hands‑on experience with supplier relationships, import, freight, and customs procedures.
• Financial literacy for managing budgets, variations, and supplier payments.

Required skills

• Proficiency with project management tools such as Click Up or equivalent.
• Professional qualifications such as PMP, PRINCE2, or CIPS (preferred).
• Knowledge of occupational health and safety requirements in workplace settings.
